How to Build the Right Technology Setup for Board, Delegate and Roundtable Meetings

Updated: Sep 28
Discussion-based meetings such as board meetings, roundtables and delegate sessions depend on active participation. When many people need to speak, vote, join remotely or access interpretation, separate technologies can quickly make the setup more complex than necessary.
A dedicated conference system keeps participation organized and provides a flexible base when the meeting requires additional capabilities.
Watch the video to see how this works in practice:
How can conference microphones support active participation?
A conference microphone system gives each participant an individual unit and makes the discussion easier to manage. Push-to-talk controls avoid passing or sharing microphones, while chairman units can provide additional moderation when needed.
The microphone features can also be selected based around the meeting requirements. Options include language channel selectors, electronic voting, and video microphones with individual displays, allowing additional functions to be integrated directly at each seat rather than added as separate equipment.
At the 2025 IUCN World Conservation Congress supported by Conference Rental, 1,200 conference microphones were configured with custom software, speaking rights, request-to-speak and voting functionality.

How can video tracking support remote participation?
Automatic video tracking connects the conference microphone system with cameras, allowing the active speaker to be shown automatically. This makes it easier for remote participants to follow the discussion and reduces the need for manual camera operators or switching.
The same microphone and video system can also be connected to videoconferencing platforms such as Zoom, extending the existing meeting setup to remote participants.
For a high-level global gathering, Conference Rental combined push-to-talk microphones, interpretation systems and automatic speaker-focused video tracking as part of an integrated meeting setup.
How can interpretation be integrated into the conference system?
If international participants need interpretation, the entire interpretation workflow can be integrated into the conference system.
Interpreter booths and consoles connect with the conference system, so interpreters can follow the discussion and send each language back through the same system.
Participants can then access interpretation in two ways. Dedicated receivers can be provided to those who need them, or conference microphone units with channel selection and headphone outputs can let participants choose their language directly from their seat.
At an executive boardroom in Vienna supported by Conference Rental, 250 delegate microphones allowed participants to select from 13 interpretation languages directly from their seats, while remote interpreters followed the discussion through the meeting system.
