How to Set Up Interpretation for 38,000 Attendees in Asia

Rotary International Convention 2026 brought one of Rotary’s largest global gatherings to Taipei, with 38,000 attendees from 140 countries across four major venues. For the eighth year in a row, Conference Rental supported the technology, systems, and on-site coordination behind multilingual access at scale.

The scope

 At this year's Rotary International Convention, Conference Rental provided services for approximately 70 sessions across 20 rooms at Sheraton Grand Taipei, Taipei Dome, TaiNEX 1, and TaiNEX 2.

The setup covered on-site and remote access, different session formats, and board meetings before and after the Convention.

The solution

Flexible language access with backup support

Conference Rental delivered BYOD interpretation access for both on-site and remote participants, allowing attendees to listen from their own smartphones.

Due to the size and capacity of Taipei Dome, the venue was also equipped with an RF-ready interpretation solution, with 6,000 receivers available on site in case the Wi-Fi network proved insufficient to support BYOD interpretation.

Together, this created a flexible access model with an added layer of reliability.

Human and AI interpretation working together

The interpretation workflow combined 9 AI-supported languages and 8 human-interpreted languages in one setup.

On-site interpreters worked from the Simultaneous Interpretation Hub, while remote interpreters joined from around the world.

This helped coordinate language delivery across sessions, venues, and time zones.

The evolution

After eight years supporting Rotary, each Convention has become a chance to refine the way multilingual access is delivered.

What began with traditional interpretation systems has evolved into a more flexible model, shaped around the size, format, and needs of each event.

In Taipei, that meant bringing together the right technology, people, and on-site coordination for one of Rotary’s largest multilingual operations.
