Custom BYOD Access for 8,000 Attendees in Indianapolis

A large-scale event in Indianapolis brought together approximately 8,000 attendees.
The project covered a stadium-scale main session and two executive meeting rooms, each requiring a different approach to multilingual access.

Stadium-Scale FM and BYOD Interpretation
During the main session, around 8,000 attendees could access interpretation in English, Spanish, and French in two ways:
Through FM receivers
Through their own smartphones using browser-based BYOD access

A custom BYOD process with restricted access
Following previous large-scale events, the client wanted to limit BYOD interpretation access to registered attendees while keeping the browser-based experience simple.
The first phase of a custom API integration connected the registration system with the interpretation platform.
Attendees could use their user credentials to access the language streams through their browser, without downloading an app or creating another account.
As this was the first rollout of the integration, a dedicated on-site BYOD Support Desk helped attendees access the streams and allowed the team to gather feedback for future improvements.

Interpretation inside the meeting rooms
The project also included executive meeting rooms equipped with:
80 push-to-talk conference microphones
Auto-video tracking camera systems
Interpretation available in English, Spanish, and French
Participants could listen to interpretation directly through their delegate microphones, removing the need for separate receivers and keeping the setup simple around the table.
The result
More controlled BYOD access through the event registration system
A simple browser-based experience for registered attendees
Flexible interpretation across the main session and executive meetings
A foundation for a more automated access process at future events
The Indianapolis event gave the client greater control over access to the interpretation streams while keeping the experience simple for attendees. Different delivery methods also supported the specific needs of the main session and executive meeting rooms.
