Conference Rental supported a major international event in Krakow, Poland, delivering multilingual access for approximately 13,000 attendees over three days.

The project required a different approach, bringing one shared program to audiences both inside and outside the venue.




One room, 13,000 attendees

Large international events often involve multiple venues, simultaneous sessions, and interpretation booths across different rooms.

This event presented a different kind of scale.

One continuous program ran in a single room over three days, with attendees joining both on site and remotely. The solution had to make the same experience accessible across languages, locations, and ways of participating.

Conference Rental brought these requirements together in one coordinated workflow.


A customized interpretation solution

Around 60 interpreters worked remotely through a remote simultaneous interpretation platform, providing spoken-language and sign-language interpretation throughout the event.

Audio from the venue was sent to the interpreters, and their language feeds were returned and delivered to each audience in real time. Different delivery methods were used depending on how attendees joined the event:


21 spoken languages on site

Inside the venue, spoken-language interpretation was delivered in 21 languages, allowing attendees to follow the program in their preferred language.


3 sign languages for greater accessibility

Attendees requiring sign-language interpretation were seated in a dedicated viewing area where they could clearly see the remote interpreters on dedicated monitors.

Multilingual access for remote participants

Online participants followed the event through a dedicated video platform with integrated interpretation.

They could select their preferred language and access the same program remotely.

 

A smaller physical footprint, not a smaller operation

Unlike a traditional conference interpretation setup, there were no on-site booths or physical consoles.

Conference Rental’s setup centered on laptops, switches, monitors, FM transmitters, and platform integrations. The technical team managed network connectivity, audio routing, and language distribution.

This reduced the amount of equipment that had to be shipped, installed, and managed

on site, simplifying logistics without reducing the scale or complexity of the operation.
